Austin HOA Management FAQs

1. We are switching HOA management companies. How does the transition work?

Our goal is to make the transition process as seamless as possible for both Board Members and residents. We have a dedicated Transitions Team, who will work diligently with your current management company or self-managed Board to ensure all association documents and information, including but not limited to on-site staff, preferred vendors, and banking systems, is transitioned in an orderly fashion. Every component of the transition is thoroughly reviewed for completeness with transparency and regular updates provided to Board Members every Friday.

PMP also prepares a detailed Homeowner Welcome Package that is sent to all homeowners as a part of each transition and includes an introduction to our management team, instructions on how to register for our unique online portal, PMP Gateway, details regarding how to pay monthly assessments, and an invitation to our complimentary monthly virtual training.

2. Can you help with developer transition and new construction communities in the Austin area?

Yes. PMP has experience supporting new and developing communities, including establishing homeowners associations, creating association budgets, drafting governing documents, and serving in declarant Board roles. PMP’s dedicated Transition Team also coordinates document transfer, vendor onboarding, software setup, resident communications, and weekly transition progress updates.

3. How do you handle maintenance and vendor management in Austin’s fast-growing market?

Over the past decade and a half, we have built an extensive network of pre-vetted association vendors who consistently demonstrate service quality that meets our high standards and aligns with the expectations of the communities we serve. All of our association vendors are vetted and certified through a third-party vetting company, VendorSmart, to ensure they have the proper licenses, insurance coverages, and certifications.

Unlike other management companies, PMP never requires a fee from vendors for them to be included on our preferred vendor list, which is a common practice we believe creates a conflict of interest. Any PMP preferred vendor has earned the right to be on our list by delivering great service at a fair price, maximizing value to our association clients.

4. Can you help our board stay aligned with Texas HOA requirements and best practices?

Yes. PMP supports Boards with consistent workflows for notices, documentation, records organization, and enforcement processes that align with Texas HOA governance frameworks, including requirements commonly addressed under Texas Property Code Chapter 209. We coordinate with association legal counsel when legal interpretation is needed.

PMP also supports Board education through DR. HOA, our complimentary Board Member training and education platform, which includes educational columns, videos, newsletters, and live quarterly forums covering new laws, regulations, and recommended best practices. PMP also offers one-on-one Board training on topics such as fiduciary duties, governance fundamentals, budgeting, and financial statement review.

5. Do you provide after-hours emergency support?

Yes. PMP provides live after-hours emergency service 24 hours a day, 7 days a week to address emergency matters. PMP also has full-time team members on call to handle emergency matters, including dispatching pre-approved association vendors such as plumbers, roofers, or remediation companies when needed to streamline response time. For major disaster or emergency responses, PMP leadership is also available as a resource to assist the Community Manager and Board of Directors as necessary.

6. How do we request an HOA management proposal in the Austin area?

Complete the contact form to request a personalized proposal package. Our Austin team will connect with you promptly to learn more about your community’s needs and share how PMP can support your Board, homeowners, and long-term goals.
